Course-Activity Late Cancellation Management
We have noticed that students are able to cancel from course-related activities after registration has closed. Some volunteers have requested a website improvement that would either prevent cancellations after registration date is closed, or better allow volunteers to manage this process. No-shows and late-cancellations have a big impact on volunteers' ability to successfully run programs.
Our tech team identified that the ability to cancel after registration closes is not a glitch, but rather, has always been the way the website has operated. Currently roster email notifications can be used to manage when students cancel from an activity roster, but this does not prevent the late cancellations.
Further testing will be required, but it looks like there may not be any warning sign or indication for students cancelling from the "manage registration' pop out window that the registration period has closed. On the activity page, however, there is text that indicates that the registration has closed, and to contact the leader to be added/removed from the roster. After the close date, it is no longer possible to sign up from the "manage registration" pop out.
Ideally we'd like to find a solution that balances the importance of supporting our volunteer leaders while also making it easy (and continuing to provide education and training) for our members to participate.

This idea, Course-Activity Late Cancellation Management, is moving into "In Progress" as we begin some testing/development to find a solution that will prevent registered participants from cancelling (unchecking the checkbox in manage registration) once the activity registration date has closed. As mentioned in the description, if someone IS registered for an activity it is currently set to ignore the registration close date on the checkbox functionality. It is our hope the solution is straight forward by removing this exception rule for registered individuals and disabling the checkbox after registration closes.
