  1. Warning when you click "Copy E-mail Addresses" if you have private and public profiles checked

The Mountaineers has a policy that if you are emailing people with a profile set to Private, you should put them in BCC. It would be helpful if the site gave a warning pop-up when you have selected both public and private profiles and click "Copy E-mail Addresses" as the next logical step is that those emails get pasted into a "To" line.

The warning could simply remind leaders that they should put Private profiles in BCC and maybe link to the policy.

I'm not entirely sure if using the "Send E-mail" button will properly sort the emails into the…

  2. Add profile link to roster

There is a companion issue that made names clickable in the roster on the website: https://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/8764993-make-names-on-roster-open-their-profile-so-you-can

Here, I would like a column added to the CSV roster export with the link to someone's profile. There's currently a column for whether the profile is private or not, but no column with the actual profile link.

This would serve the same purpose as the clickable name. In Excel, it will detect that these are links and make them clickable. That makes it easier for me to navigate to someone's profile.

  3. Make horizontal scroll bar always visible on large rosters

I've mostly noticed this with events, but Jeff said it is true across all our rosters. It would be great to have the horizontal scroll bar always visible on the screen - for large rosters with more rows and columns than fit on a screen, you have to scroll down to scroll across, then go back up ... at which point you can't see the info in the leftmost column to know what you're looking for. It makes for a very clunky user experience trying to go back and forth between horizontal and vertical scrolling.

  4. Change "mentored leader" to "mentor" in the dropdown choice for activity role.

That way, the mentee can create the listing and be the primary contact. The mentor can then be listed as ... Mentor.

  5. Add Waiver Expiration Date Column to Roster

Add a column to the program committee roster (or individual course rosters) displaying the waiver expiration date. Today the FT Coordinators find out about expired waivers only when they are trying to add instructors to the activity. Instead, a column in the roster (main committee roster or individual course roster) will help them proactively act on the situation.

I assume other programs and branches will also benefit from this column as the process for waiver verification is cumbersome! Happy to chat more if needed! Thanks!

  6. Add COVID-19 badge to activity and lodge stay rosters

To make vaccine verification easier, a number of volunteers have asked about adding a COVID-19 Vaccine badge column directly to activity rosters, viewable from the main roster page. This way leaders don't have to download rosters or click into individual member profiles.

Additionally, lodge stay rosters do not have the same badge field that activity rosters have. A number of lodge hosts have expressed the need to be able to view badges from the roster page, in any format (but preferably through a direct COVID-19 Vaccine badge column).

  7. Allow primary leaders to uncheck their "show as contact" for an activity

Course and course lecture/field trip leaders are increasingly utilizing generic Committee profiles or Basic Course profiles as the Primary Leader for course related activities to make sharing the workload of answering participant questions and managing the rosters easier. Burnout is a common consideration I hear from leaders choosing to do this.

However we need real people to lead activities for many reasons, chief among them are:
    • Someone from The Mountaineers (or approved by us) needs to be on site and manage the participants.
    • Our emergency and leadership teams needs to know who is in charges in case an…

  8. Allow committee roster sorting for those who are not admins GH3526

Roster sorting was disable in May, 2020. At that time the fix was only partial because sorting was re-enabled only for people with admin access to the roster. Prior to the May, 2020 breakage roster sorting worked for everyone. It would be nice to get that full functionality back again. Not every committee member has admin access yet many have a legitimate need to view the roster in sorted order.

See related feedback item from May 2020 and followup comment from December 2020: https://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/40525171-alphabetical-sort-for-rosters-has-disappeared

  9. Add Filters, Instructor Opt In/Out, and Badges to Committee Rosters

    (1) Add filters to top of the page--admins, committee members, position, leaders, instructors, badges and lookup by name.

    (2) Add an instructor opt in/out checkbox (see http://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/34126369-volunteer-instructor-recruitment-request-opt-in).

    (3) Add four badge columns to the download so you can see course badges, skill badges, leader badges and instructor badges. And maybe a fifth column that shows all other badges.

    Notes/observations:

Within Committee rosters, currently you can "Sort" members by group, but not "Filter" them. The "Sort" tool is not very helpful, as many members have multiple roles (Leader, Instructor, Committee member, etc). When I click on "Groups" to sort my…

  10. Satellite communicator contact information

It would be useful to have satellite communicator addresses on the roster along with contact information. This could be voluntarily entered on the member page, not publicly visible, just of use by the roster, similar to the emergency contact.

The reasoning: Unless replying to a message, a person's Garmin InReach can only be contacted directly using this InReach address. However, these are seldom shared among party members. The ability to directly contact a party member via satellite is a powerful tool in an emergency. Separated party members could communicate with each other. Overdue parties might be contacted. Additional contact would…

  11. Allow Committee Admins to see all activities posted under its purview

As the chair of the scrambling committee and the course lead for scramble course, it is surprisingly difficult to know what activities are posted on behalf of my committee.

I can use the search Activities page to look for "Scrambling" activities for "Foothills" but there are other things we do on behalf of the committee that aren't scrambles and there's no easy way I know of to see those and access them.

A concrete example: I can only easily get to the rosters for the field trips I personally am on the roster for. If I have a leader leading…

We have the ability to provide reports to committee on demand from our Salesforce database, a CRM (Customer Relationship Management) platform. It has a much better and more flexible data reporting engine than our website which is a CMS (Content Management system).

We also have the ability to connect a Salesforce report to a Google sheet and share that with any of our volunteer administrators. These Google sheets may be refreshed periodically (daily, weekly, monthly) so they can be as up-to-date as needed.

If you need a one-time report or periodically updated report for your committee or branch, please send an email to our Member Services Team, info@mountaineers.org.

  12. Leader's Permission Required SHOULD MEAN LEADER'S PERMISSION REQUIRED

It's hard enough dealing with the instructors and other participants that can not or will not read and understand the posting of an activity, course, field trip, ANYTHING let alone dealing with someone that registers without getting permission to do so. What is the point of having a check box or radio button if there is no functionality behind it?

Thank you for your feedback regarding the leader’s permission process, and we’re sorry for the frustration you have experienced. Leader’s Permission can be a critical tool for ensuring a successful trip, but good communication is key to avoiding frustration. We are unable to make technology improvements to the functionality of Leader’s Feedback at this time, but thanks to your feedback we have updated our Leader’s Permission Required blog and are highlighting your suggestion as a best practice for leaders. https://www.mountaineers.org/blog/what-is-leaders-permission

  13. Give activity co-leaders automatic permisson to see rosters

Currently it is apparently necessary for a co-leader to be made an activity admin or a committee admin in order to see the roster for that activity, adding another step for the primary leader. Can we not remove extra keystrokes here for our busy volunteers? If we make someone a co-leader we trust them to do everything we would do as a leader.

First, anyone who is to be a co-leader should already be on a committee roster (any committee roster as a leader) whcih means they could easily be the Primary Leader. Why would this ever not be the case?

Second, anyone on a roster may view and mange the “team roster,” the one that that is accessed from the "Manage Activity " portlet or “Roster” in the Admin Panel, if the “Admins” box in their activity roster record is checked.

So the only added step for adding a co-leader to an activity roster is to check the “Admins” box. This is the first field after looking up the person being added and has help text explaining why this box might be checked. Checking a box, one click, does not seem overly burdensome, especially in light of the many other needs and desires for our website.

  14. Allow Rich Text Editing When Sending Email from the Website SD345

When sending email from the website, allow the use of simple rich text formatting (bold, italic, hyperlinks, etc.) and adding attachments when sending email from a roster or the carpool features on our website.

  15. Make it more clear that a member is under the age of 18

I can't guarantee that any of my volunteer instructors are "youth qualified" so it should be more clear on a member's profile that they are under the age of 18.

  16. Alphabetical sort for rosters has disappeared

Before the May plone update committee, course and activity rosters could be sorted by name which was very helpful when comparing rosters and trying to find peoples names to manage rosters. Right now when you have a roster for over 12 people it becomes more difficult to manage rosters. Hopefully since we used to have this functionality it can be fixed soon.

  17. Update "Last Activity Led" column in committee rosters to add co-leaders and exclude cancelled trips GH3277

Currently, the "Last Activity Led" column in committee rosters on the website only factors in activities where the contact is listed as the Primary Leader, and includes activities that were cancelled.

Please exclude cancelled activities from this calculation, and include activities where the contact is listed as a Primary Leader OR a Co-Leader.

  18. Badge Rosters Access

To implement the new climbing leader progression (as well as the recently updated snowshoe leader progression), please give committee admins access to edit leader badge rosters. While there's a very small risk that someone could accidentally remove a person from a different branch from a badge roster, that's simple to fix. (note: if it can be possible to manager leader badges via the committee roster, that would also be a workable solution).
    Thanks!

Much like the “Access to Badge Rosters” idea, http://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/6746686-access-to-badge-rosters, we have declined this idea.

The practical constraints are that badge rosters are a compilation of other rosters managed through different avenues. Meaning course admins can grant badges through their course rosters by graduating students, and committee admins manage leader badges through their committees. We recognize that some committees need to assign more than one leader badge and that not all leaders get the same badge(s). We have the “Multiple Badges Within a Committee” idea, http://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/37059466-multiple-badges-within-a-committee-gh2933, for this.

The technical constraints are that (1) adding sharing permissions was partly broken in the Plone 5 update—fixing it is at least a small project, and (2) badge roster pages have issues that need fixed for them to be used for this.

One option to relieve staff from having to add leaders to badge rosters and until the “Multiple Badges Within a…

  19. Bulk add participants to rosters

It would be great to be able to add multiple people to a roster at one time instead of having to do a multi-step process for each person. This would be especially helpful for committees and youth programs who have recurring events with the same people. It would allow committees to easily add and then bulk update volunteers hours tracking.

Please see the attached image for an example.

  20. Give site admins permission to 'remove' people from rosters. GH3329

In order to prevent folks who have been canceled from moving back to the top of the wait list as a result of their original registration time (this happens in CHS often), allow staff to 'remove' the person from the roster. This will mean they receive a new registration time every time they move from 'canceled' to 'wait listed'.
