  1. Display dates of Submitted Leader Applications

    The new Submitted Last Application page is very helpful. Thanks.

    It would be very helpful to include the application date in the information shown to volunteers. Currently, for example, there are almost 200 Hike-Backpack Leader Applicates dating back about 5 years, but they are all displayed in a single very large last that shows only the applicant names. It's possible to learn the date of an application by clicking it a noting the timestamp in the URL, but many volunteers are not sufficiently tech-savvy to do that, and it's necessary to click on each application individually in order to…

    Notes:

    - Added "Date Submitted" field to application forms and set its default to today's date. This data will be available to forms submitted from now on.

    - Changed "Submitted Forms" buttons/links to be the folder contents view which has a "Last Modified Date" column, as close as we can get o s submitted date for the submitted forms folder. 

  2. Easier to see instructor opportunities: Combine instructor opportunities and add them as a filter with all other activities

    Make it easy to see instructor opportunities for courses and clinics by showing them directly in the 'find activities' page. Today, when one selects 'find activities' they see 18 types of activities including hiking, scrambling, sea kayaking. But to see course instructor opportunities one has to click on 'volunteer' --> 'volunteer with us' --> scroll halfway down to click on 'find instructor opportunities'.

    As a volunteer-led organization, it's important to make finding instructors as low-friction as possible and putting 'instructor opportunities' in the same page with all the other activities will go a long way in giving our members that…

    We reviewed what was possible today within the website and completed the following:

    This change does not alter the current Instructor Activities page which has stayed the same.

  3. Add bulk update feature for Event "Attended?" checkbox GH3706

    Like we do for email, download, and print, add a Bulk Update Attended All|Selected button that checks or unchecks the Attended? box for all roster records or just the ones selected. When clicked, ask the user if they want to check or uncheck the Attended? box. This will make record-keeping easier for those who choose to use printed sign-in sheets.

    When you use the "Add volunteer hours" box at the bottom of an event roster, it adds hours to anyone with a volunteer role, not just the folks who were marked as attended. It would be great to get this…

  4. Website Performance Improvements

    In recent months it's been reported that at times, our website is slow to respond and also times out with a 503 or 502 error message.

    The huge majority of these performance issues were resolved as part of our website 4.4 launch in April 2023. https://www.mountaineers.org/blog/tech-update-4-4-website-performance-improvements


    We still have one final internal step to upgrade to a Compute Savings Plan for our servers on AWS, but that's an internal cost-savings measure for us, and should not meaningfully impact the performance issues, so we're marking this as complete.

  5. “Don’t Forget to Volunteer” Reminder Email ~Salesforce

    Please create another auto generated email that is sent to folks after six months from graduation (i.e. have earned a course badge) to remind them to consider volunteering.   6. Update "Congratulations on your new course badge!" Email

    Volunteers and I are working on clarifying pathways to volunteering. One of our ideas was to modify the “congrats on your new course badge” email that is sent to course graduates. We were thinking of adding emphasis to instruction and other volunteer leadership resources to create a pipeline from course graduate to volunteer instructor. With the hope that they will consider other volunteer leadership roles in the near future.   7. Create "Out of Region" Branch Option & Branch Newsletter Opt-ins

    (1) We would like to add a “Out of State” or “Out of Region” branch option for folks. The reason is that we have~400-500 folks who do not live within a reasonable driving distance from any of our branches, and it makes sense from a reporting standpoint to have an accurate count for membership association, particularly because historically most of these people have been added to the Seattle branch. The need for this is to get accurate reporting and also because it impacts our communications strategies.

    (2) We want to automatically subscribe people to branch newsletters.

    The website changes to support two new branch options has been completed. The two new branches that members can select under their profile are:

    • Unaffiliated - Washington
    • Unaffiliated - Out-of-State

    These branch options will support things like opt ins for branch emails, targeted communications, and more. As a start, our team will review all contacts under 'Unaffiliated' and use address information to sort them into the two new groups.

  8. Add "Checkout as Guest" Option for Purchasing Gift Memberships

    Currently, there is no option to checkout as a guest when attempting to purchase a gift membership and no error message or prompt to login. The item is removed from cart at checkout screen without explanation.

    It turns out this has been working. The error report red was either a rare glitch or the result of needing to have cleared an individual's browser cache.

  9. Feedback Load Speed Issues for Committee Admins GH3610

    When the committee admins use the "View Committee Feedback” button, but when they click it, it is often slow to respond or returns a timeout error.

    The biggest issue here was the amount of feedback to aggregate. We defaulted to “Lifetime” which is all the data. Here is what we fixed and how we recommend using committee/leader feedback:


    • Set the default to the “Last 12 Months” filter so it loads albeit a little slowly.
    • Moved the "Lifetime" filter to the bottom. Be sure to only use it in combination with either a leader filter or a course template filter. Those are typically      small enough data sets to not cause a timeout.
    • Replaced the date filter widgets with the more modern version, and one that actually works.


    It’s lot of work to improve the load time for “Lifetime” and we need to upgrade the forms we use for feedback, so we’ll tackle this later with the upgrade.

  10. Convert Branch Dashboards to Google Data Studio

    With some new tools that allow us to automatically update a Google sheet from a Salesforce report and the tools available in Google Data Studio, we can convert the Branch Dashboards we built in Salesforce to Google Data Studio. This makes them easy to share with anyone who needs access without needing costly licenses.

  11. Equivalency Candidate Badges

    Give Committee members the ability to award short-duration badges to Equivalency candidates, to allow candidates to manage their own instructor registrations as part of the requirements for demonstrating equivalency

    Our current system allows Committee Admins to create Equivalency Courses  for tracking and graduating Equivalency Candidates. In the Equivalency  Course Template, Committee Admins can designate an existing student  badge or a course badge as an “Enrolled Badge,” which will be assigned to Equivalency candidates for the duration of their enrollment in the Equivalency Course. This allows them to sign up for trips or instructor opportunities that require that badge so that they can meet their requirements for Equivalency.

  12. No need for leader phone number in leaders permission email

    When someone submits for leader permission, I get an e-mail with information about the requestor and activity -- but curiously it has my own leader information including phone number.

    Since I end up just directly replying to those e-mails, which routes to the requestor, I've inadvertently been sending my phone number back to them all. Can the phone number be removed from the requestor form? It doesn't seem necessary

  13. Reorganize Youth Programs Menu

    Our youth programs have grown significantly since our website was launched in 2014. Consider a user experience design for the the "Youth" menu in the header (the More "hamburger" menu) and the youth pages to help members and guest better navigate and find information about programs for their children and youth groups. Specifically we have youth programs in more locations and have expanded program offerings. We need to be sure the menu and pages cover all of our programs in all of our locations in a way that is easy to navigate and find the information desired.

  14. Magazine

    i regularly see members on peaks in the Magazine without naming the peak or the members. My comment is mainly directly at the peak; it would be nice to know where the shot was taken. The current issue is a good case in point. 3 climbers sitting on a rocky top...but no mention of which peak they're sitting on.

    Thank you for your feedback, and for being a regular reader of Mountaineer magazine. We do our utmost to include location in photo captions, though there are times when we do utilize images with unknown locations or subjects. This occurs most often with images from our photo library, which includes many donated shots from volunteers which may or may not include all of the desired details. However, we’re happy to report that we believe the particular image you’re referring to does indeed have a location in the caption. The image is the cover of our Summer 2021 edition, and the caption can be located on the bottom left of the table of contents (page 2), identifying the summit as the Tooth.

  15. Improve Default Shipping Selection on WA web Book Orders GH3613

    Make Surepost Default selection on WA web orders (instead of pickup option).

    This will make a significant difference in terms of minimizing the folks that leave curbside selected but actually need their stuff shipped. This issue arises multiple times per week and getting them switched back to shipping is a very manual/time consuming process. It would also significantly lessen curbside returns (we are seeing a fair amount of folks that order curbside but never pick up).

  16. Change "mentored leader" to "mentor" in the dropdown choice for activity role.

    That way, the mentee can create the listing and be the primary contact. The mentor can then be listed as ... Mentor.

    This idea has been completed on production. Next, the team will update leader resources to include the new 'Mentor' role on activities and socialize it across branches/committees.


    Please note, we did not remove the 'Mentored Leader' role as there are a few committees using it actively today. If those committees switch to using 'Mentor', we can then consider removing this option as a role.

  17. Allow committee roster sorting for those who are not admins GH3526

    Roster sorting was disable in May, 2020. At that time the fix was only partial because sorting was re-enabled only for people with admin access to the roster. Prior to the May, 2020 breakage roster sorting worked for everyone. It would be nice to get that full functionality back again. Not every committee member has admin access yet many have a legitimate need to view the roster in sorted order.

  18. In Stewardship Half Day template document the need for manual follow-up

    After completing two "Stewardship Half Day" activities the participant is expected to send an email to info@mountaineers.org requesting their Stewardship badge. This fact was documented in a one-time email sent to activity chairs and some activity leaders when the new template was launched in November, 2020 (see attached pdf) but does not appear to be documented anywhere else. Moreover, people who post Stewardship Half Day activities are expected to include the need for manual follow-up in their activity descriptions, but that also appears to have been mentioned only in the one-time November email.     Hello David -

    Thank you for sharing this idea! We have implemented two changes to assist in awarding stewardship badges for multiple half day events.


    1. We added the language you recommended to the half day activity template. We cannot auto-populate the description of an activity, but can auto-populate the leader notes of an activity. Now, if anyone generates a half day event this information will be added like the 10 essentials are always added.
    2. We created a report that will email our Member Services team every quarter that should help us find individuals who have attended multiple Stewardship half day events that do not have an active stewardship badge. This will hopefully have us find and recognize those who may have missed the leader notes!
  19. Allow Committee Admins to see all activities posted under its purview

    As the chair of the scrambling committee and the course lead for scramble course, it is surprisingly difficult to know what activities are posted on behalf of my committee.

    I can use the search Activities page to look for "Scrambling" activities for "Foothills" but there are other things we do on behalf of the committee that aren't scrambles and there's no easy way I know of to see those and access them.

    A concrete example: I can only easily get to the rosters for the field trips I personally am on the roster for. If I have a leader leading…

    We have the ability to provide reports to committee on demand from our Salesforce database, a CRM (Customer Relationship Management) platform. It has a much better and more flexible data reporting engine than our website which is a CMS (Content Management system).

    We also have the ability to connect a Salesforce report to a Google sheet and share that with any of our volunteer administrators. These Google sheets may be refreshed periodically (daily, weekly, monthly) so they can be as up-to-date as needed.

  20. Stop showing activities that occur TODAY in the "My Activities History" section

    Right now, any event I am leading today shows up as the first thing in the "My Activities History" section on my profile. However, this is (and always has been) very annoying, because I have to scroll down to find it. Due to recent (and welcome) website optimizations, the history section loads more slowly, so I have to wait for it to load before I can open the activity I'm leading that day in order to print the roster.
