  1. "Late Course Roster Change" message being sent for courses that are still open

    As of approximately yesterday (October 17) the usual leader notification messages for roster changes now have a subject line of "Late Course Roster Change...", and the message body contains the sentence "This change happened after registration closed." This is presumably a new feature on the website, however the text is being included even for courses that are still open for registration. In other words, all roster changes are being described as "late" even if they are not late.

    An example is the Seattle Branch WFA class on Nov 9-10:

    Hello David -

    Thank you for raising this! I did make a change yesterday to our activity and course roster change emails to leaders/coleaders. This change allowed us to send notifications beyond the primary leader as well as migrate this process to the new automation process within Salesforce. However, it looks like upon review (based on your call-out) that course registration open/close times are not being stored in Salesforce like they are for activities, even though the fields are present. Since the registration closing datetime was null, it was considering the closing datetime as passed. I have altered the process to avoid this for now. I created a new idea that would store the course registration open/close dates in Salesforce so that we could call out 'late' cancellation in the future.   2. Warning when you click "Copy E-mail Addresses" if you have private and public profiles checked

    The Mountaineers has a policy that if you are emailing people with a profile set to Private, you should put them in BCC. It would be helpful if the site gave a warning pop-up when you have selected both public and private profiles and click "Copy E-mail Addresses" as the next logical step is that those emails get pasted into a "To" line.

    The warning could simply remind leaders that they should put Private profiles in BCC and maybe link to the policy.

    I'm not entirely sure if using the "Send E-mail" button will properly sort the emails into the…

  3. Make horizontal scroll bar always visible on large rosters

    I've mostly noticed this with events, but Jeff said it is true across all our rosters. It would be great to have the horizontal scroll bar always visible on the screen - for large rosters with more rows and columns than fit on a screen, you have to scroll down to scroll across, then go back up ... at which point you can't see the info in the leftmost column to know what you're looking for. It makes for a very clunky user experience trying to go back and forth between horizontal and vertical scrolling.

  4. Change "mentored leader" to "mentor" in the dropdown choice for activity role.

    That way, the mentee can create the listing and be the primary contact. The mentor can then be listed as ... Mentor.

    This idea has been completed on production. Next, the team will update leader resources to include the new 'Mentor' role on activities and socialize it across branches/committees.


    Please note, we did not remove the 'Mentored Leader' role as there are a few committees using it actively today. If those committees switch to using 'Mentor', we can then consider removing this option as a role.

  5. Allow committee roster sorting for those who are not admins GH3526

    Roster sorting was disable in May, 2020. At that time the fix was only partial because sorting was re-enabled only for people with admin access to the roster. Prior to the May, 2020 breakage roster sorting worked for everyone. It would be nice to get that full functionality back again. Not every committee member has admin access yet many have a legitimate need to view the roster in sorted order.

  6. Add Filters, Instructor Opt In/Out, and Badges to Committee Rosters

    (1) Add filters to top of the page--admins, committee members, position, leaders, instructors, badges and lookup by name.

    (2) Add an instructor opt in/out checkbox (see http://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/34126369-volunteer-instructor-recruitment-request-opt-in).

    (3) Add four badge columns to the download so you can see course badges, skill badges, leader badges and instructor badges. And maybe a fifth column that shows all other badges.

    Notes/observations:

    Within Committee rosters, currently you can "Sort" members by group, but not "Filter" them. The "Sort" tool is not very helpful, as many members have multiple roles (Leader, Instructor, Committee member, etc). When I click on "Groups" to sort my…

  7. Allow Committee Admins to see all activities posted under its purview

    As the chair of the scrambling committee and the course lead for scramble course, it is surprisingly difficult to know what activities are posted on behalf of my committee.

    I can use the search Activities page to look for "Scrambling" activities for "Foothills" but there are other things we do on behalf of the committee that aren't scrambles and there's no easy way I know of to see those and access them.

    A concrete example: I can only easily get to the rosters for the field trips I personally am on the roster for. If I have a leader leading…

    We have the ability to provide reports to committee on demand from our Salesforce database, a CRM (Customer Relationship Management) platform. It has a much better and more flexible data reporting engine than our website which is a CMS (Content Management system).

    We also have the ability to connect a Salesforce report to a Google sheet and share that with any of our volunteer administrators. These Google sheets may be refreshed periodically (daily, weekly, monthly) so they can be as up-to-date as needed.

  8. Make it more clear that a member is under the age of 18

    I can't guarantee that any of my volunteer instructors are "youth qualified" so it should be more clear on a member's profile that they are under the age of 18.

  9. Alphabetical sort for rosters has disappeared

    Before the May plone update committee, course and activity rosters could be sorted by name which was very helpful when comparing rosters and trying to find peoples names to manage rosters. Right now when you have a roster for over 12 people it becomes more difficult to manage rosters. Hopefully since we used to have this functionality it can be fixed soon.

  10. Bulk add participants to rosters

    It would be great to be able to add multiple people to a roster at one time instead of having to do a multi-step process for each person. This would be especially helpful for committees and youth programs who have recurring events with the same people. It would allow committees to easily add and then bulk update volunteers hours tracking.

  11. Multiple badges within a committee GH2933

    As more committees move towards multiple leader badges, it would be helpful for committees to be able to easily assign more than one badge to their leaders (For example: Basic Snowshoe Leader and Intermediate Snowshoe Leader).

    This would provide the ability for a committee to assign other specialty badges as well such as a "mentor" badge.

    Committees should be able to assign these badges to a new leader or when editing an existing leader, and it would be very helpful if they could do all of it from within their committee roster.

  12. Prevent Leader/Instructor Badge Assignment GH2740

    When adding a person to a committee roster as a leader and/or an instructor, have two checkboxes--one for leaders and one for instructors--that prevent the leader and/or instructor badge from being assigned.

  13. Print Youth Program Forms SD647

    We'd like to print the Youth Program Form(s) as we do for the Youth information Form(s) from the Youth Flag Report.
    - We'd have two "print" buttons on the Youth Flag Report: "Print Youth Information Forms" and "Print Youth Program Forms"
    - We'd use the same "line in the sand" (i.e. ~~~) to include only text/responses above the line for the program form(s) being printed.

    Please create positions specific to branch rosters:
    Branch Chair
    Branch Vice-chair
    Branch Co-chair
    Branch Secretary
    Branch Treasurer
    Branch Officer
    Member

    Note: "Member" is for branches whose committee chairs regularly attend branch council meetings but don't have a branch officer role (so its important we keep this) Thanks!

    Notes/Questions
    - I saw “Content Manager” used, so I added that to the list.
    - Since “Members” are described as Committee Chairs, should we add “Committee Chair” to the list? Would that be better/more correct? If so, do we keep “Member”?
    - Each committee has a new field called, “Committee Type” with three choices: Committee (the default), Branch, and Board of Directors (for the Board of Directors “committee” only).
    - For each of the branches, you’ll need to first edit the committee and choose “Branch” for the “Committee Type” field and then edit the rosters to choose the correct “branch” position for each person.

  15. Improve Roster Functionality: Badge Rosters SD584

    Make sure there is pagination and the ability to search on large badge rosters. We'd also like the ability to download rosters. Need to be able to bulk update expiration date. Also need to fix the roster download function.

  16. Fully integrated Roster Management for Courses with multiple activities, and sections to complete to graduate.

    Currently for a Course with multiple required activities one must download multiple CSV files and have the skill to basically develop a one time database and queries to track all students and who has completed what.

    It would seem like the software provide would have reporting capabilities and modules that could be user facing to avoid this by using the source database.

    We already have the desired functionality. There are “Review” links to everyone’s name on the course roster. Visit https://www.mountaineers.org/volunteers/leader-resources/schedule-a-course-clinic-or-seminar/schedule-a-course-clinic-or-seminar#manage-rosters to learn more.

    If there is concern about all students registering for required field trips, be sure that all course activities are listed and open for registration when the course opens for registration. This way participants are prompted to choose activities when they register before getting to the checkout page.

  17. Track Leaders, Instructors and Members better on Committee Rosters including Automatically Assigning Leader Badges SD134/SD580

    Right now you are added as a leader to a committee and Member Services gets an email notification that requires them to add the badge. Leader web rights however are instantly granted with the addition to the roster.

    Expiration dates for each, automatic leader/instructor badge assignment/removal, roster removal if none remain. Add committee member checkbox. Bulk update tools for managing roles/expiration dates. Determine what an instructor really is.

  18. Printer-friendly Roster Page with Contact Info for Leaders SD319

    In preparing for an activity, leaders often want to bring a long a printout of their activity roster, including participant names, mobile phone, email, and emergency contact info. Currently we have to export this info to excel and spend time removing unnecessary columns and rows and doing a lot of formatting to produce this. Offer a printer-friendly page that formats this info (and leaves out the unnecessary info like cancelled registrations, etc.).

  19. MailTo button on Rosters and other web email improvements GH1123

    The email button on the roster page is pretty much useless because of the crippled form based email that is built in. Add another button with a MailTo link behind it that feeds the default email client with the list of selected email address in the header.

    That's basically the same functionality we had under IMIS--it was robust, immensely useful, and the necessary programming is trivial.

    We added a MailTo box that allows copy-and-paste of email addresses to a personal email client and up to threes attachment for web-sent email.

  20. Download Roster: Have option to download only those selected GH1132

    Right now the download roster brings everyone on the list, it would be cool to be able to select a portion of the roster and download this portion for management for all rosters (committee, course and activity). - Suggestion from Focus Groups
