  1. Replace Roster CSV (download), Copy, Print Feature GH1578

The "TableTools" plug-in that we're using is now retired and it used Flash which is not available on all devices. We'll replace it with a newer "Buttons" plug-in that uses HTML5.

We upgraded to the new download plug-in and still have the same three functions: copy, csv and print.

  2. "Late Course Roster Change" message being sent for courses that are still open

As of approximately yesterday (October 17) the usual leader notification messages for roster changes now have a subject line of "Late Course Roster Change...", and the message body contains the sentence "This change happened after registration closed." This is presumably a new feature on the website, however the text is being included even for courses that are still open for registration. In other words, all roster changes are being described as "late" even if they are not late.

An example is the Seattle Branch WFA class on Nov 9-10:

    https://www.mountaineers.org/locations-lodges/seattle-branch/committees/seattle-first-aid-committee/course-templates/in-person-wfa/in-person-wfa-2024-11-09

Registration for that class is still open for another week,…

    Hello David -

Thank you for raising this! I did make a change yesterday to our activity and course roster change emails to leaders/coleaders. This change allowed us to send notifications beyond the primary leader as well as migrate this process to the new automation process within Salesforce. However, it looks like upon review (based on your call-out) that course registration open/close times are not being stored in Salesforce like they are for activities, even though the fields are present. Since the registration closing datetime was null, it was considering the closing datetime as passed. I have altered the process to avoid this for now. I created a new idea that would store the course registration open/close dates in Salesforce so that we could call out 'late' cancellation in the future. You can find it here: https://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/48983225-call-out-when-a-course-roster-change-was-after-reg

  3. Make horizontal scroll bar always visible on large rosters

I've mostly noticed this with events, but Jeff said it is true across all our rosters. It would be great to have the horizontal scroll bar always visible on the screen - for large rosters with more rows and columns than fit on a screen, you have to scroll down to scroll across, then go back up ... at which point you can't see the info in the leftmost column to know what you're looking for. It makes for a very clunky user experience trying to go back and forth between horizontal and vertical scrolling.

  4. Allow committee roster sorting for those who are not admins GH3526

Roster sorting was disable in May, 2020. At that time the fix was only partial because sorting was re-enabled only for people with admin access to the roster. Prior to the May, 2020 breakage roster sorting worked for everyone. It would be nice to get that full functionality back again. Not every committee member has admin access yet many have a legitimate need to view the roster in sorted order.

See related feedback item from May 2020 and followup comment from December 2020: https://feedback.mountaineers.org/forums/273688-general-feedback/suggestions/40525171-alphabetical-sort-for-rosters-has-disappeared

  5. Allow Committee Admins to see all activities posted under its purview

As the chair of the scrambling committee and the course lead for scramble course, it is surprisingly difficult to know what activities are posted on behalf of my committee.

I can use the search Activities page to look for "Scrambling" activities for "Foothills" but there are other things we do on behalf of the committee that aren't scrambles and there's no easy way I know of to see those and access them.

A concrete example: I can only easily get to the rosters for the field trips I personally am on the roster for. If I have a leader leading…

We have the ability to provide reports to committee on demand from our Salesforce database, a CRM (Customer Relationship Management) platform. It has a much better and more flexible data reporting engine than our website which is a CMS (Content Management system).

We also have the ability to connect a Salesforce report to a Google sheet and share that with any of our volunteer administrators. These Google sheets may be refreshed periodically (daily, weekly, monthly) so they can be as up-to-date as needed.

If you need a one-time report or periodically updated report for your committee or branch, please send an email to our Member Services Team, info@mountaineers.org.

  6. Make it more clear that a member is under the age of 18

I can't guarantee that any of my volunteer instructors are "youth qualified" so it should be more clear on a member's profile that they are under the age of 18.

  7. Alphabetical sort for rosters has disappeared

Before the May plone update committee, course and activity rosters could be sorted by name which was very helpful when comparing rosters and trying to find peoples names to manage rosters. Right now when you have a roster for over 12 people it becomes more difficult to manage rosters. Hopefully since we used to have this functionality it can be fixed soon.

  8. Leaders of a committee should be able to access old course rosters

    From Dennis Miller via info@mountaineers.org

It appears that courses expire which means they don't show up under the course template unless you are course admin.

Committee admins can see all courses. If a person needs to work with historical courses, they should be a committee admin.

You can now add up to three attachments to email sent from the website. Please be sure to keep the total size of all attachments to 10MB or less.

  10. Download Roster: Have option to download only those selected GH1132

Right now the download roster brings everyone on the list, it would be cool to be able to select a portion of the roster and download this portion for management for all rosters (committee, course and activity). - Suggestion from Focus Groups

  11. Roster field showing members Branch

Many trips and outings are joined by members from all Branches. Once a trip is created, and the time comes for communicating final information, a field showing the participant's Branch world be most helpful to assist with arranging carpooling.

When we were chatting with many of our leaders and members during the creation of the current carpool system there was a strong consensus that people have the flexibility to share more detailed information about where they are coming from rather than grouping by Branch. We also were not able to share city with the group because of member privacy.

What we came up with instead is the carpool preference field which has 2 parts. One that allows you to pick Drive, Ride, Drive or Ride, Drive- Full Car, Drive- Have Space.

And then part two where you can say. I’m coming from Ravenna and prefer to meet at 65th St Park and Ride.

Anyone signed up for the same trip can then see this detailed information when they go to the roster and click Email Roster.

Leaders are able to see which city people are coming from and occasionally…

  12. Roster screen: Student status and sorting

On the roster screens for activities and courses display names in last name, firstname MI format (also when searching to add people). Put a set of checkboxes on the main roster screens to let leaders update status without needing to drill down to the edit screen for eaxch student.

On course rosters you can now change the position and student expiration date for multiple participants.

  15. Improve Roster Functionality: Badge Rosters SD584

Make sure there is pagination and the ability to search on large badge rosters. We'd also like the ability to download rosters. Need to be able to bulk update expiration date. Also need to fix the roster download function.

  16. Roster Management - Canceling after registration closes GH1782

Currently if registration for an activity is closed and the leader cancels someone from the roster, the next person from the waitlist is automatically added to the roster. To avoid this the total capacity of the trip has to be reduced before canceling someone. This is annoying as a leader and confusing for the participants if done wrong. Once registration is closed, the roster should be fixed unless manually edited.

Roster management is now manual after registration has closed. We will be sending out a notification in leader lines but please pass along to your fellow leaders.
